Terms and conditions


This British Library Labs Competition as detailed at [http://labs.bl.uk/British+Library+Labs+Competition+2015] (“Competition”) is operated by the British Library Board of 96 Euston Road, London NW1 2DB, United Kingdom, (“We” “Us” and “Our”). “You” and “Your” shall mean you, the person or persons entering the Competition.

1. General


1.1 If You enter the Competition You are deemed to have agreed to abide by all of the following Terms and Conditions together with any amendments thereto (both of which are non-negotiable) under which the Competition is run, and to be bound by them. We may disqualify You without prior notice if You are in breach of any of these Terms and Conditions or any revised Terms and Conditions that We may from time to time impose.

1.2 We reserve the right to cancel the Competition at any stage if We deem this necessary or circumstances arise that are outside Our control.

2. Entries


2.1 The Competition is open to all excluding:
2.1.1 employees or contractors of the British Library or their direct family members: or
2.1.2 any person directly or indirectly involved in the British Library or the running of the
Competition, or their direct family members.

2.2 Entry is free.

2.3 You can either enter as an individual or as part of a team.

2.4 Applicants must be aged 18 years or older.

2.5 To enter the Competition, You must:
2.5.1 submit Your proposal in accordance with the Competition brief via the British Library Labs website; and
2.5.2 ensure that:
i. Your proposal is original;
ii. Your proposal does not in any way infringe or misappropriate the copyright or other intellectual property rights, or other rights of any third party; and
iii. any software produced for the Competition is developed on the principles of open source software, and made available royalty free.
2.5.3 tick the box to accept these Terms and Conditions when you submit your entry.

2.6 All entries must be received by 0900 BST on Wednesday 6th of May 2015. Any entries received after this will not be considered. We cannot be held responsible for:
2.6.1 ineligible or fraudulent entries; or
2.6.2 any lost or late entries, due to the Internet, email or otherwise, even where proof of sending can be provided.

2.7 We will select:
2.7.1 a shortlist of entries between Friday 1st May and Monday 11th May 2015. If Your entry is on this shortlist, You will be informed via email by midnight BST on Tuesday 12th May 2015, and may be contacted by email and / or telephone to answer further questions about Your entry up to 1400 BST Friday 22nd of May 2015; and
2.7.2 two entries will be chosen for the final stage as described in the judging process, and the finalists announced by midnight BST Friday 29th May 2015 on the Labs website – http://labs.bl.uk. Each finalist will be contacted personally by email prior to the announcement. It will not be possible to notify those entrants that are not selected for this final stage.

2.8 Each finalist will be expected to:
2.8.1 work on their idea, partially in residence, with Our team (with expenses paid up to a limit of £3,600 per finalist) between Monday 1st June and Friday 30th October 2015.
2.8.2. present their progress to the judging panel between 1200 and 1400 BST on the 17th of September 2015.

2.9 The judging panel will choose an overall winner by midday GMT on Monday 2nd of November 2015 as described in the judging process.

2.10 Completed work will be showcased at a symposium on Monday 2nd November 2015 at the British Library Conference Centre at which a prize of £3,000 for the overall winner and £1000 for the runner-up (the Prize”) will be awarded.

2.11 For stages in clauses 2.7 (selection of finalists) and 2.9 for the selection of final winner and runner-up the judging panel’s decision shall be final, and no correspondence shall be entered into.

2.12 Each winner accepts and agrees that:
2.12.1 the Prize must be taken as stated, and cannot be deferred, exchanged or redeemed for its value;
2.12.2 no alternate to the Prize will be available.

3. Rights and permissions


3.1 All entrants accept and agree that We may publish Your proposal on our website at our sole discretion by Monday 2 November 2015.

3.2 If We are unable to contact any winner after making reasonable efforts to do so, or the Prize is unclaimed after 10 working days of us notifying a winner then the Prize will be deemed to have been forfeited, and We reserve the right to offer the Prize to another entrant.

3.3 In the event that You are a winner:
3.3.1 the Prize will be provided to You, subject to the following requirements:
i) You meet appropriate levels of security clearance;
ii) written agreement on the details of the Prize and any results therefrom, including, but not limited to, intellectual property rights, and the obligations of the parties concerned.
For the avoidance of doubt, in the event that the above requirements are not met, the Prize will be deemed to have been forfeited, and We reserve the right to offer the Prize to another entrant.
3.3.2 you agree to:
i) participate in any publicity planned by Us, if required; and
ii) allow the posting of Your details on Our website.

4. Personal Data


4.1 Other than as expressly permitted by these Terms and Conditions, We will only use your contact details for the purposes of administering this Competition, and will not publish them or provide them to anyone without Your permission.

4.2 You consent to Us:
4.2.1 holding and processing data relating to You for legal, administrative and management purposes; and
4.2.2 making such information available to our funding bodies.

4.3 Any personal data relating to You will be used solely in accordance with current UK data protection legislation and will not be disclosed to another party without Your prior consent. Please see Our Privacy Statement for further details.

4.4 Data relating to You will be retained by Us for a reasonable period after the closing date specified in clause 2.6 to assist in the administration of the Competition in a consistent manner and to deal with any queries on the Competition.


5. Applicable Law


5.1 These Terms and Conditions and any dispute or claim arising out of or in connection with them or their subject matter or formation shall be governed by and construed in accordance with English law.

5.2 The parties will attempt in good faith to resolve any dispute or claim arising out of or relating to these Terms and Conditions promptly by negotiation. If the dispute cannot be resolved by negotiation, You hereby submit to and agree that the sole jurisdiction and venue for any actions that may arise under or in relation to the subject matter hereof shall be the English Courts.
